A sender ID is the name your customers see at the top of your message, for example DUKA LANGU instead of an unknown number. People open messages from names they recognise and ignore the rest, so it is the single biggest thing you can do for your results. On SwalaSMS most requests are approved in 3 to 5 business days. Here is how to get yours through first time.

1. Choose a name that follows the rules

  • 11 characters or fewer, counting spaces. "SHULE YETU" is 10, which fits.
  • Letters and numbers only, with single spaces between words. No dots, dashes or symbols.
  • At least one letter. A name made only of numbers is not allowed.
  • Your own brand. Generic words like "INFO" or "ALERT", or another company's name, are refused. Use the name your customers already know you by.

If your business name is long, shorten it the way your customers would: "Upendo Women Group" becomes "UPENDO WG" or "UPENDO".

2. Pick the right purpose

The request asks what the messages are for: notifications, transactions, OTP and verification, promotions, marketing, alerts and reminders, or other. Choose the one that matches most of what you will send. A school sending fee reminders picks Alerts & Reminders; a shop announcing offers picks Promotional.

3. Write a real sample message

You need a sample between 50 and 500 characters. Write one you would actually send, with your name in it. Reviewers approve faster when they can see exactly what recipients will get:

SHULE YETU: Ndugu mzazi, muhula wa pili unaanza 6 Januari. Tafadhali kamilisha ada kabla ya 3 Januari. Asante.

4. Have your documents ready

The form lists any documents needed for the country you are sending to. Have clear scans or photos ready, such as your business registration certificate, before you start. If you are protecting a well-known brand name you will also be asked for proof that the brand is yours.

5. Top up first

Custom sender IDs need a minimum credit purchase on your account. Your account shows the exact amount. While you wait for approval you can keep sending with the free default sender.

How long does it take?

Most sender IDs are approved within 3 to 5 business days, and more than 3,250 have been approved through SwalaSMS so far. You will see the status change in your account, and the new name appears in your sender list the moment it is approved.
